Call for Applications – Admin & Finance Manager

Hanns Seidel Foundation India invites applications for its office in Delhi, for the position of Admin & Finance Manager, starting 1st June 2026

The position involves the following key tasks and functions:

Towards the Resident Representative: 

  • Assist and report to the Resident Representative (RR) of Foundation
  • Assist the RR in managing official journeys (including preparation of documents and accounts, etc.)
  • Manage the calendar and appointments
  • Plan and coordinate HSS programmes or related visits from abroad or in India

Towards Office Management and Finance: 

  • Responsible for smooth workflow/ functioning of the office including procurement and management of all inventory including maintaining list of all inventory
  • Coordinate with office assistant(s), driver, contracted service providers or similar for the same
  • Manage independently contacts and contracts of all vendors and handle bills of the same
  • Scrutinize invoices and prepare payments, including tax payments
  • Maintenance of online file storage and backup
  • Coordinate with the Bangalore office for administration and office procurement
  • Supervise the intern(s) at Delhi office
  • Organize the secretariat, including telephone exchange, handling incoming and outgoing mail (delhi@hss.de), filing, arranging of appointments
  • Perform secretarial duties, including preparation and documentation of meetings
  • Updation of the attendance records of all employees
  • Assist the Head Finance & Administration for German accounting of general and partner expenses in Delhi and Bangalore offices and manage recurring tasks relating to bookings and account management
  • Manage the payments to all vendors including deposit of tax
  • Prepare monthly files including deduction of applicable tax
  • Manage finance related processes and compliance management 

Towards Programme Management:

  • Coordination and documentation of scholarship programme
  • Substitute for the programme managers during their absence
  • Organize and manage HSS events/ meetings if and when required

Requirements:

  • Master’s degree in finance, commerce, social sciences, German language, management or similar.
  • A minimum of three years of office management experience in the field of international development cooperation or the NGO Sector.
  • Excellent command over English & Hindi in spoken and written form. Knowledge of German language is an added advantage.
  • Good organizational skills
  • Thoroughness in handling administrative or financial matters
  • Interest in political affairs and international relations
  • Good writing, communication and people skills
  • Proficiency with modern office, communication and computing software
  • Pro-active and independent approach to work
  • Willingness to travel nationally and internationally
  • Work in an international team
