Tender for IT Consultants

Hanns Seidel Foundation India invites proposals for IT services.

Hanns-Seidel-Foundation India e.V. is a German foundation that has been working in India as a liaison office for the last 25 years.

Our offices are located in Delhi and (from 2019) in Bengaluru, with the Delhi office acting as the administrative hub. We work with local partners in accordance with FCRA regulations on development projects covered by the bilateral agreements between India and Germany. We operate within the regulatory framework in India and also in accordance with the Federal Ministry for Economic Cooperation and Development in Germany.

This tender is for IT services for both offices of Hanns Seidel Stiftung India: New Delhi and Bengaluru. Where personal visits are required but not possible (respective other office), remote support through virtual assistance or telephone in coordination with local staff can be considered. In-person visits to both offices are preferred.

The broad list of services is given below:

1. Maintenance and upkeep of all IT equipment and hardware:

  • 1 server + backup devices, 1 NAS, 2 routers, approx. 10 computers, 4 printers/ scanners, network equipment, firewall, peripherals
  • Regular checks (at least once a month) and firmware updates
  • Installation, connection, set-up of IT equipment
  • Advise on hardware updates

2. Regular updation of all office software

  • Ensure that the software is up-to-date at all times and actively prevent or close any security threats
  • Implement measures and programs to protect against malware, viruses, and other cyber threats
  • Installation and regular updation of contracted software
  • Advise on software renewal or purchase

3. Backup and network security

  • Provide and maintain server set-up for efficient work use and high-data security
  • Monitor network setup for safe remote and local work
  • Perform regular checks on network security, speed and functionality
  • Independent redress any network problems, e.g. in independent coordination with the respective ISP
  • Setup and maintenance of regular backup system of server and NAS (daily synchronisation, weekly and monthly backup)
  • Provide quick response and backup installation in case of infection or hardware failure
  • Ensure data and work processes are secure at all times

4. IT Support and counsel

  • Provide support remote support within 30 minutes during working hours
  • Provide advice proactively on need for upgrades or new technology, equipment and software with a special focus on cybersecurity
  • Advise on holistic risk and IT-performance management processes for both offices in the backdrop of their rules and regulations relating to their HO in Germany

Any non-routine tasks not covered by the above specifications will be subject to separate charges. Please provide a price list or hourly rate for such tasks. The contract period will be from 01.04.24 to 31.12.27 initially, with the possibility of extension by mutual agreement.

Please provide at least two references and submit your proposals to delhi(at)hss.de no later than March 25th, 2024. Any task not regular and not mentioned above can be charged separately.

Preference will be given to service providers with experience in supporting foreign companies in India.
